ABOUT THE EVENT

III Points Music, Art & Technology Festival, planted its flag in 2013, 5 years on the stages were graced with performers such as The Gorillaz, The XX, Rufus Du Sol, Richie Hawtin & Nicolas Jaar to name a few. They set out to shed light on Miami based music acts, along with local thinkers, dreamers and doers reshaping our community. The festival takes place at Mana Wynwood Convention Centre only a short drive from the famous South Beach.

III Points curates a line-up of cutting edge international performances paired with the best of the Miami’s music scene over 5 stages. Over the three days of the festival, III Points takes over the town with music & gallery showcases and a fully immersive main festival grounds.

OBJECTIVES

Elite Image were engaged to provide site management & event operations services for the planning, build, event phases of the 3 day show.

As this festival was running into its 5th year with such large touring artists and logistics, the event promoter engaged us to meticulously plan and execute the 3 day long festival.  Our team started liaising 2 months out, going over all the details with the production director and gave us good understanding of where the festival was at and where we needed to take it too.

One thing we were specifically asked to do, was to ensure the festival opened its doors on time which hasn’t been done in the past. With such a large festival, it was critical that we tracked each department’s progress to provide support, ensuring that each team was ready to open the gates.

We implemented our software management tool to manage tasks, suppliers and logistics and introduced the rest of the team to it, to assist everyone in having a better grip on the many tasks required to roll out the event.

One of our key deliverables was to assist in management the ‘main container build out’ which was a set of over 40 shipping containers placed into a certain design to create a show piece for the festival.

We sourced all the containers, arranged scheduled deliveries and planned the stacking and craning of the large pieces to create the projection surface which was video mapped onto for the duration of the festival.

We were informed about 5 days out from the event that there was going to be big hurricane disaster relief benefit show for victims affected in Puerto Rico hosted by Major Lazer and other famous artists the day after our finishing night.  We were asked by that event promoter to manage the load in & out logistics as well as event day operations for this charity event. In order to accommodate such a large change in events in a 8 hour block many factors had to be tweaked to coordinate a smooth change. Our team had to work with the III Points and Pop life teams to facilitate the changeover for the benefit show.

OUTCOME

As the as deadline for gates approached we were rather calm during the last few hours. Prior planning gave us enough time to add all the details the promoter requested such as the smell of “Palo Santo essence” burning throughout the entry as the guests walked in. As the sun went down the lines started filling and out gate team were working hard to keep the lines flowing while our operations team were managing the change of logistics to deal with the influx of guests at certain peak times.

The Gorillaz came on and our Mindmelt stage was absolutely packed!   From that moment forward it was smooth sailing every night until the changeover required for the Major Lazer benefit show.

As doors closed on Sunday morning and guests were cleared, a barrage of trucks and heavy machinery took over the site for the changeover.   Area’s fenced off, vendors arriving, production changes, broadcast teams installing,   the site was undergoing a complete changeover for the evening’s proceedings.  Nevertheless everything went to plan and the benefit was a huge success selling over 8,000 tickets in 5 days.
